Privacy Policy
What we collect through www.pinnova.com and your subscription, why, and how it's handled — separate from Pinnova BDS itself, which never sends your data anywhere.

1. Scope
This policy covers information collected through the Pinnova marketing website (www.pinnova.com) and the account/subscription systems behind it — the Subscribe checkout, sign-in, account dashboard, and chat assistant. It does not cover the Pinnova BDS software's handling of your business data once installed, because Pinnova BDS doesn't send that data anywhere. See Section 7.
2. Information We Collect
Download-request form
The free-tier Download-request form sends the name, work email, company, and optional notes you enter to our site’s API, which emails you a time-limited download link and forwards the request to our sales inbox. When you use the link, the download is recorded in our installer-download log (see below). We do not use these details for anything else and never sell them.
Subscription and account data
When you subscribe to Enterprise, we collect and store: your email address, company name (if provided), a Stripe customer identifier, your signed license key, the Pinnova BDS installation ID you activate it for, subscription tier, and licensed data-product count. This is stored in our Azure-hosted database to operate your account, provision your license, and let you sign in later. The installation ID is an opaque, randomly generated identifier — it doesn't identify a device or reveal anything about your systems.
Payment information
Checkout and billing are handled entirely by Stripe, our payment processor. We do not receive, process, or store your card number or other full payment details — Stripe handles that directly, under its own privacy and security practices.
Sign-in
We use email-based sign-in links ("magic links") rather than passwords. Signing in sets an HTTP-only session cookie in your browser, valid for up to 30 days, used solely to keep you signed in — it isn't used for tracking or advertising.
Chat assistants
Messages you send to a chat assistant on this site are forwarded to Anthropic's Claude API to generate a response. Anthropic's own handling of that data is governed by Anthropic's privacy policy, available at anthropic.com.
The public pre-sales assistant (on our marketing pages) does not store your messages in any Pinnova database — that conversation exists only in your browser session — unless you ask for a follow-up. If you use its "Get a follow-up by email" button, the work email and company you enter, the page you were on, and the recent conversation are stored in our Azure-hosted database as a sales record and emailed to our sales inbox (hello@pinnova.com) so we can reply. We use them only to follow up on your enquiry; we do not sell them or use them for advertising. You can ask us to delete them at any time (see Section 9).
The support assistant in the signed-in Enterprise account area is different: we log those conversations (your questions and the assistant's answers), associated with your account email, in our Azure-hosted database, so our team can improve the product's documentation and support. If you use its "Email this conversation to support" button, that conversation and your account email are sent to our support inbox (quality@pinnova.com) so we can follow up. Access to these logs is limited to Pinnova support and product staff who need them for those purposes; we do not sell them or use them for advertising. They are kept and deleted as described in Sections 6 and 9. Please don't paste secrets — such as database connection strings, passwords, or license keys — into either assistant; if you need to share those, use a private support channel rather than the chat.
Server logs
Like most websites, our hosting infrastructure (Microsoft Azure) generates standard operational logs (e.g., request timestamps, error details) used for reliability and debugging. We don't use these logs for tracking or profiling.
3. What We Don't Do
We don't use third-party analytics, advertising trackers, or marketing pixels on this website. There is no cookie-based tracking beyond the single sign-in session cookie described above.
4. How We Use Information
- To provision and manage your Enterprise subscription and license entitlement.
- To authenticate you and maintain your account session.
- To send transactional email: welcome messages, license key delivery, sign-in links, and subscription-change notices.
- To respond to inquiries submitted through the Download-request form (as described above).
- To provide Enterprise support: logging support-assistant conversations to improve our documentation and support, and following up when you email a conversation to our support team.
- To operate, secure, and troubleshoot the website and account systems.
We do not sell your personal information, and we do not use it for advertising.
5. Third-Party Service Providers
We rely on the following providers to operate the website and subscription systems, each processing a limited slice of information necessary for their function:
- Stripe — payment processing and subscription billing.
- Microsoft Azure — website hosting, backend functions, and the database that stores your account/subscription record.
- Anthropic — generates responses for the on-site chat assistant.
- Email delivery (SMTP, e.g. Microsoft 365) — sends transactional email such as welcome messages and sign-in links.
6. Data Retention
We retain subscription and account data for as long as your account is active and for a reasonable period afterward for legitimate business purposes (such as billing records and legal compliance). You can request deletion of your account data at any time — see Section 9.
Support-assistant conversation logs and any conversations you email to support are retained for up to 90 days for the support and product-improvement purposes described in Section 2, then automatically deleted. You can request deletion of yours sooner at any time (see Section 9).
Follow-up requests left through the pre-sales assistant are kept as sales records for as long as we are in contact about your enquiry and for a reasonable period afterward. You can request deletion at any time (see Section 9).
7. The Pinnova BDS Software Itself: No Phone-Home
This is the important distinction: everything above concerns the website and account systems. The Pinnova BDS software you install runs entirely inside your own network. It does not transmit your business data, database schemas, connection strings, or query results to Pinnova — ever. License entitlement is verified locally within your installation using a cryptographically signed certificate; no outbound network call is made to check it. If you never subscribe or interact with the website beyond downloading the software, we have no visibility into your usage.
8. Data Security
We use industry-standard measures to protect account and subscription data, including encryption in transit (HTTPS), environment-scoped credentials, HTTP-only session cookies, and role-based access controls on our backend infrastructure. No method of transmission or storage is completely secure, and we can't guarantee absolute security.
9. Your Rights and Choices
You can review or update your subscription details from your account page at any time. To request access to, correction of, or deletion of your personal information — including your support-assistant conversation logs — email hello@pinnova.com — we'll respond within a reasonable timeframe. Deleting your account data will not affect a valid license certificate already installed in your Pinnova BDS instance, since that verification happens entirely offline.
10. Children's Privacy
Our website and services are intended for business use and are not directed at children. We do not knowingly collect personal information from anyone under 16.
11. Changes to this Policy
We may update this policy from time to time. If we make material changes, we'll update the "Last updated" date above and, for active subscribers, make reasonable efforts to notify you (such as by email).
